Clara Jobs by EHP Careers (ehp.careers, portal.ehp.careers) is a free job search program run by Ember House Project ("we", "us"), a Toronto-area community charity. This policy covers Clara Jobs specifically. It is a separate product from the Ember House support line, and one part of it is deliberately different from that line's policy, so we say it up front:
Clara will message you first
On the Ember House support line, Clara never sends the first message. Clara Jobs is different by design: once you sign up, Clara sends you a daily job digest by text and by email, plus onboarding messages while you get set up. This is the service, not a side effect of it. You can turn either channel off, or pause them until a date you choose, from your account page at any time.
What we collect
- Your profile: name, phone number, email address, resume, work history, qualifications, and any certifications you hold or are working toward.
- Location: the city, region, or postal code you give us, used only to confirm a job is inside the GTA and to estimate your commute.
- Your mailbox: Clara creates a free curomail.com inbox for you at signup and sends from it, so there is no password of yours for us to hold. Accounts created before 19 September 2026 could instead connect an existing mailbox with an app password; where one of those is still connected, that password is encrypted at rest with a key stored outside the web application, not in a database column a leaked backup could expose, is used only to send the applications you approve and to read employer replies to them, is never shown to or read by any AI model, and is deleted permanently the moment that mailbox is disconnected.
- Your conversation with Clara: the messages you exchange while setting up your profile or asking questions.
Who receives your information
- Employers: only for the specific applications you personally approve. We do not send your resume or profile to anyone beyond that.
- Service providers: the companies that deliver our text messages and email, and the AI systems that draft your application text. They process data on our behalf under contract and don't get to use it for their own purposes. We don't name individual vendors here because vendors change; what doesn't change is that none of them may use your information for anything but running Clara Jobs.
What we never do
- Sell, rent, or trade your information.
- Send an application without your approval.
- Show your mailbox password to a person or an AI model.
- Send you marketing that isn't about your own job search.
Retention and deleting your account
We keep your profile and application history for as long as your account is active. If you disconnect your mailbox, the credential is deleted immediately and permanently; it cannot be recovered by us or by anyone else. If you close your account, your profile, resume, and message history are deleted within 30 days, except for the minimal record the law requires us to keep about job applications actually sent.
Your off switches
- STOP by text, or turning a channel off in your account page, stops that channel going forward. Your profile and matches stay, so turning it back on picks up where you left off.
- Pause until a date in your account page stops messages until then and resumes automatically.
- Disconnect your mailbox in your account page deletes your stored password immediately and stops all sending until you reconnect.
Text message program details
By connecting a phone number you agree to receive Clara's daily job digest and related messages, roughly one message a day plus any replies in a conversation. Msg & data rates may apply. Reply STOP at any time to opt out, or HELP for help. Consent to receive texts is never a condition of using the web portal on its own.
Canadian privacy law
We handle your information under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). You can ask what we hold about you, ask us to correct it, or ask us to delete it, subject to records we're required by law to keep.
